Using the Quick Price Check (QPC) screen

Basic Purpose of the Quick Price Check (QPC) Screen

  • The Quick Price Check (QPC) screen is designed to perform all necessary functions to find, price, ship (create a Sales Order), sell (create an Invoice), and pick items for deliver (create a Stock Picking Ticket) - all from 1 screen.
  • The QPC can be customized to find your companies preferences.  Please see the section below entitled: Customizing the QPC For Your Company

Opening the QPC Screen

  • Press Ctrl + Q to open the QPC (or click Sales > Quick Price Check)
    • Note: Depending on your settings, you may be able to have the QPC screen re-appear after you close the Quote or Sales Order screen (if you have created a Quote or Sales Order from the QPC).

Using the Quick Price Check screen - Step by Step

  • Step 1 - Open the Quick Price Check screen:
    • Press Qtrl + Q to open the QPC (or click Sales > Quick Price Check)
  • Step 2 - Select a Bill To and Ship To Customer:
    • Enter the Ship To Customer Name (or Phone Number or Customer Number).  This will auto fill the Bill To customer associated with the Ship To Address you select.
  • NOTE: If your company has the Use Ship To feature turned off, then you will need to enter the Bill To customer.  This setting will also disable the 1-click Add to Order & Print options.

    Adding and Managing Customer Records

    --To add a new customer on the fly type the Customer Name (in the Bill To or Ship To drop down box), press the Enter key, and then follow the prompts. 
    --To Open the Bill To or Ship To Customer record, click on the Magnifying Glass button next to the name.

  • Step 3 - Enter Search Criteria (to find 1 part or a list of parts that fit the vehicle):
    • Enter the Year, Make, and Model.  (You can skip over the Make field if you'd like).
    • If desired..enter the Category and/or Subcategory to further refine your search.
    • Click the Search button.  (Note: You can program the QPC to auto click the Search button for you--after you exit a field of your choice).
  • Step 4 - Select and Price Items: (without using a mouse to make the process faster)
    • Use the ARROW keys (on your keyboard) to navigate up and down the list of parts.
    • Use the ENTER key to 'Select' items to be placed on a Quote or Sales Order.  (This will automatically check the 'X' checkbox, automatically change the QTY to 1, and then automatically set the cursor on the QTY field, in case you need to change it).
      • The selected Customer's NET PRICE is automatically calculated.
      • Use the SPACE BAR key to toggle the selection back off if you'd like. 
    • Use the ENTER key to move the cursor from the QTY field to the NET PRICE field (so you can easily change the price if necessary).
    • Use the ENTER key to move the cursor from the NET PRICE field to the next item in the list. 

      Pricing Items Automatically

    • View picture of the item (if available, and if cursor remains on the item for more than 1-2 seconds)
  • Step 5 - View More Info About Any Selected Item
    • See the Partslink#, OEM#, Interchange # (of your choice), Last Inventory Date, Qty on Order (and when they are due to arrive), the OEM Price, and your List/Retail price in the fields ABOVE the line item section.
    • Click the 'Click to View Picture' box above the line item section (to see if a picture is available for the item).
    • See notes about that part in the 'Special Notes' box above the line item section.
    • See details about each of your shipments still in stock, which warehouse they are in, which location/bin they are stored in, who your suppliers are, etc - by clicking on the Check Stock button.
  • Step 6 - Make any final revisions:
    • In the top right corner you can add the Customer PO#, change the Shipping Via, or add comments to the printed Invoice.
  • Step 7 - Drop the Selected Items onto a Quote or Sales Order or Sales Order and Invoice...
    • Click Add to Quote to create a new Quote for the selected Customer with the items and prices you have selected.
    • Or, click Add to Order to create a new Sales Order for the selected Customer with the items and prices you have selected.
      • If you have already clicked Add to Order (and the new Sales Order is still open), if you want to add more parts to the same Sales Order just select more parts and click the Add to Order button again.
      • If you have already clicked Add to Order (and the new Sales Order is still open), if you want to add more parts to a new (additional) Sales Order for the same customer click the Add to New Order button.
    • Or, click the Add to Order & Print button if you want to perform multiple tasks with 1 click, such as:
      • Create a New Sales Order
      • Print a Stock Picking Ticket
      • Convert the Sales Order to an Invoice
      • Print the Invoice
      • Clear the screen and set focus on the Ship To Customer, ready to take the next call.
      • NOTE: Each of these tasks can to enabled or disabled in the Company Setup & Preferences for the QPC screen.

QPC Short-Cut Keys

  • Use "Up" & "Down" Key to navigate items. 
  • Use "Left" & "Right" Key to navigate "Item Desc", "Qty", and "Net Price"
  • "Net Price" automatically shows when cursor stops at that item. 
  • Use "Enter" Key to select item, add order Qty to be 1, and cursor stops at order Qty 
  • Hit "Enter" again to move to "Net Price" field.  --Hit "Enter" again to move to next item. 
  • Use "Space" Key to toggle "Select" or "Unselect" 
  • Use "+"/"-" Key to increase/decrease "Qty" 
  • Double click "Stock Qty" to add to Lost Sales Table.

Viewing and Emailing Pictures of Items

  • After you have entered search criteria and have parts displayed, click on any item description, then click on the 'Click to View Picture' box above the items.  If a picture of the item exists (with the same part number) the picture will be displayed.
  • To email the picture to a customer interested in buying the part, right click on the picture and select ‘Send Email’ menu.  (This will pop up an Input box in which to enter the customer's email address.  Note: If the selected customer already has email address set up in the Customers & Prospects screen in the Company Email Address field, it should auto fill for you).

How to Change the Way the Quick Price Check (QPC) screen functions

There are numerous ways the Quick Prick Screen can be customized using the Company Setup & Preferences

To view or change the preferences for the Quick Price Check screen click: Tools > Company Setup > (5.1) Sales-QPC.

The following is a brief explanation of the various preferences - explained specifically to customers that sell auto parts: 

  • (1) Default Customer: This auto fills the selected customer by default when the user opens the QPC screen.
  • (1.1) Customer Selection - Show Ship To Address: When enabled, the Ship To Address field will appear and set the focus on this field first. 
  • (2) Pricing Calculated: You can assign when the prices will be calculated using these options:
    • Auto: This option automatically calculates ALL prices for all items displayed in the item list.  This is most convenient when you expect the list to be rather short. This option can take longer than a second or two if the list of items is typicaly numerous.
    • Manual: This option requires the user to click the Update Prices button before the prices will be calculated for all items.
    • When Clicked: (Recommended)  This option provides the fastest response time be only calculating the prices when the item is clicked.
  • (3) Default Tab
    • Pricing: This option is best used for companies that usually look for parts 1 at a time.
    • Auto Body:  This option is best used for companies that want to look at a group of parts (like all parts that fit a particular Year, Make, Model)
  • (4) Auto Ship: When selected, when items are added to a new Sales Order, if the item is in stock the Qty Shipped will automatically by increased to the Qty Ordered, and the inventory will be reduced by the Qty Shipped.
  • (5) After Adding Item(s):  This option allows you to control what happens to the Quick Price Check screen after you have selected 1 or more items and then click Add to Quote or Add to Order.  You have these optional settings:
    • Do Nothing
    • Auto Close Quick Price Check 
    • Ask For More Items
    • Minimize Quick Price Check

      Certain Options Don't Apply

      If your company sells Auto Body Parts (meaning you have selected the (3) Default Tab option above to be Auto Body), then options 50-99 do NOT apply to you.

  • (100) Queue Selected Items:
    • When enabled, this option retains any item you've selected, even after you have changed the search criteria (such as to another category for the same car, or to a completely different car). 
  • (101) Search Results Format: This allows you to select the the 'format' of the line item section (where the items are displayed).  If you are unsure which to select, usually selecting the format with the highest number (the latest version) is best. (NOTE: If you want to 'customize' the layout of the line item section, such as change which columns are displayed, or the order in which they appear, or the column width or column headings--please see the section below called 'How to Customize the QPC Line Item Section Layout.
  • (102) Auto Fill In Grouping:  If you select this option the 'search criteria' you enter to 'find' the parts (such as the year, make, model) will be saved in the Grouping field on Quotes, Sales Orders, and Invoices.
  • (103) Auto Check for Previous Quotes Within the Last x Days: If you want to be prompted if the same customer calls for the set of parts for the same car within the last 7 days, then you would enter a 7 in the Days field.
  • (104) Net Price Editing: When enabled the Net Price will be editable.  
  • (105) Check Stock Button: Enable this option if you want to show the Check Stock button, which will allow your users to view additional Inventory details and Supplier Names, Costs, and their Item Numbers. 
  • (106) Do NOT Show Picture of Part Until User Clicks the Picture Area (to speed up QPC Navigation):  Enabling this option will speed up the searching and navigation by suppressing the display of the Item Picture (if one is available to display) until the user clicks on the picture area.
  • (107) Disable 'Add to Order' buttons: If you want to force all Sales Orders to become a quote first (so ALL Quotes and Orders for the day can be viewed on 1 list) you may want to enable this option.
  • (108) Disable Category & Sub-Category drop down lists: Enable this option is you dont want to have to use the Category or Sub-Category selection fields.
  • (109) Disable Auto Look-up (per item) of last price and # days since last sale: This option was added to speed up the searching.  If you don't care to have the system auto calculate the last price you sold each selected item to that particular customer (and the number of days ago it was) then enable this option.
  • (110) Auto click the Search button after tabbing past field x:  This option speeds up user navigation on the screen.  If you want the Search button to be automatically clicked after exiting the Model field, or some other field on the list, then select that field as the field you want to auto search on when exiting the field.
  • (111) Enable Add to Order & Print button:  This option displays a button called Add to Order & Print (in RED) that can do any ONE or ALL of these options (to speed up Order and Invoice creation and printing):
    • Auto Create a Sales Order
    • Auto Create Quotation.
    • Auto Print Default Sales Order reports (such as the Sales Order, Stock Picking Tickets, Labels for each item for local delivery, etc)
    • Auto Create Invoice and Print Invoice
  • (112) Add to Quote - Default Action:  This option was added to speed up QPC Navigation.  When items have been selected and then the Add to Quote button has been clicked, you can control what the system does next.  The next step taken can be any of the follow 3 options:
    • Open the Quote screen (to display the Quotation to the user)
    • Open the Quote screen AND clear the QPC screen (making it ready for the next call without any further clicks)
    • Do Not Open Quote screen but clear the QPC screen
  • (113) Auto select the option called 'Include Inactive Items in Search Results' when the Search button is clicked:  This option was added to make it easier to view (or not view) ALL parts in your system that meet the criteria entered.  For instance, if you wanted to view the parts in your catalog that are set to 'inactive' (because you do not yet have a Supplier), you would want to select this option.  (The Inactive items will be displayed on the QPC in a lighter font to differentiate them from the Active parts).  If you want to use this option, but don't want to have it show ALL parts on every search, then you can NOT set this option but CAN manually click on the Include Inactive Items in Search Results (checkbox) on the QPC screen--on the fly--whenever you want to toggle the Inactive Parts on or off the list of displayed parts on the QPC.

How to Customize the Quick Price Check (QPC) Line Item Section Layout

You can customize the 'layout' of the Line Item Section of the QPC in the following ways:

  • Opening the Editor: Open the QPC Line Item Editor by clicking: Tools > Company Setup & Preferences > (5.1) Sales-QPC > then click the Customize button on option 101.
  • Column Selection: To DISPLAY value as a column on the QPC line item section, change the column width to something greater than 0. (To NOT DISPLAY any value as a column on the QPC line item section, change the column width to 0).
  • Column Labels: To change the Column Label just change the value in the Column Label column.
  • Column Sort Order: To change the order of the displayed columns change the Number in the Sort column.  The smaller the # in the Sort column, the further left it will be displayed when the QPC is open (and displaying parts).
  • Column Widths: To change the column widths, just change the width to any width desired.  Note: You must choose from the list of size options and the TOTAL of all column widths cannot exceed 22 inches.
  • Font Type: To change the Font for any given column, select a Font for the desired column. (Note: Some fonts allow more data to fit in the same space, such as Arial Narrow). 
  • Font Size: To change the Font Size for any given column select the Font Size for the desired column.
  • Additional Global Settings:
    • Remove Qty from tab order. (When using the Enter key to select an item this option will skip the tab to the Qty field).
    • Remove Net Price from tab order. (When using the Enter key to select an item this option will skip the tab to the Net Price field).
    • QPC Sub Form Row Height.  This option allow you to select the default height of the QPC line item rows.

 

Quick Price Check (QPC) Search function:

Step 1 : Find Parts => After clicking the Search button will check the mandatory fields as Billto Customer, Shipto Customer, Warehouse, (Year, Make, Model, Category, Sub Category or PartNumber)

Step 2 : Filter the records based on Criteria => Warehouse, (Year, Make, Model, Category, Sub Category or PartNumber)

Step 3:  When user enter both Criteria (Year, Make, Model, Category, Sub Category or PartNumber) first it will filter the records based on PartNumber is linked with Item Number or ItemNumAlt1or ItemNumAlt2 or OEMModelNumber.

Step 4: Then it will filter with  the  (Year, Make, Model, Category, Sub Category ) criteria. which is linked with ItemCatalog table.

Step 5: Based on Number of records filters set the pagination for the current window height.

Step 6: Once the records are loaded set focus to the Item Description.
